RECURRING CLASS ADMIN TO-DO LIST:

New Class:
__ Confirm Class Details (date, time, location, sponsor)
__ Update Flyer (convert to PDF, convert PDF to image for email marketing)
__ Update website (class details, sponsor)
__ EPA notice (
within 7-business days)
__ Marketing (email to members & optins, newsletter, vendor stores, website,
     meetings)
__ Check supplies and order if needed (books, wipe cards, tests)

Cancelations or Changes (facility, time):
__ Cancel if minimum enrollment is not met
4-days prior to class)
__ Notice to EPA
2-business days prior to originally scheduled date
__ Notify enrollees
__ Update website

Day of Class:

     (take photo's early in case retakes are needed)
__ Lunch setup/cleanup 
__ Finish and print certificates, trainer sign, present to student at end of class
__ Post copy of certificate on secure webpage for reprints.

Class Follow-up:
__ Notify EPA of training results with
10-days after completion. (via online form)
    *Training program name
    *EPA Accreditation Number
    *Address & Phone Number
    *Course discipline & type (initial/refresher)
    *Date of Training
    *Training Mgr name & signature
    *Each student's name, address, DOB, course completion certification #
      and course test score
__ Update promo web section
     (remove completed class date from schedule, form drop down)
__ Update online student database (all EPA result details listed above)
__ Thank sponsor in next newsletter

Preparing Certificates:
__ Open editable pdf form and fill in data
__
Use form print button, choose CutePDF and print using defaults
__ With new pdf open, delete page 1 and save to Student Data folder using Cert#
__ Print
     __ If on blank sheet - print using defaults
     __ If on border sheet - crop out border, change print to fit to none and print

The next class will be at DE 3rd or 4th week of April. I should know next week.

When DE held their past RRP class they sent the students out for lunch. They have zero budget it sounds like. Jimmy will be there to handle things if we still want to bring in lunch. We charge whatever, he just hosts and markets.

I like the Reference Library set up. I can get in early, they are very accommodating, good parking, have tables and chairs, video screen w/cabling, they will set up (need count couple days before). We are confirmed. Robin Asher of Frazee is who they know and referred to Rob. Rob will help with the class somewhat.

Spoke with Rob Davis of Frazee. They are willing to give us the location on Pima, which is a home show location with various booths and a conference/training room.
Randy is going by tomorrow to verify that it will fit our needs and Rob will get with me on the physical address.
Frazee will also get water

We will shore it up after Randy is sure that it is what he wants

No luck with any Associates yet. I have not talked to Tim. I have an email out to Warren my EPA contact for the Cleaning Verification Cards and the mailing status, and where to get the books.

Email 1/23/11:
Hi Melissa, Here’s a start:

1. Student $ - $150 non-member, $125 member
2. Facility rent if at my building $100/day
3. $400 teacher stipend. If over 10 students, $50 teacher aide stipend. Or teacher aide can be from class if competent or competent sales rep if at paint store
4. 25 students max per class

I still need to research: (I hope to figure this out on Monday)
1. EPA lead time to schedule classes
2. how to get the class books and how long to get

I am also trying to give the Associates a shot at the schedule, because a couple have inquired over the last few months. But that’s not a good income maker for the PDCAZ right? Or could it still be somehow? Should there be a charge for processing each student for their Certificate ? Or is that part of my teacher fee? What should we charge if we handle the webpage sign ups? Associates may subsidize the classes they advertise.

I also learned from a GC at BJ that many training centers set up a lot of classes but they often cancel due to lack of participation. He had 4 cancel on him. Should we try to avoid this – will students get frustrated and thus not recommend us or trust us? Or should we play the many scheduled class game to find out what days and times are best?

Melissa,

1. there is a 7 day pre-notification requirement and a 10 day post-notification (submit student info & pic) for any class. I’m trying to get set up on the EPA CDX (Central Data eXchange) system to do the notifications digitally but a webpage was messing up and I left a message. I’ll try tomorrow again.
2. “EPA will mail a box of cleaning verification cards to trainers upon their initial EPA accreditation to provide renovator training.”
3. I’m still working on where to get the required books. So far $6 each online.

Let’s get ’er in place prior to the newsletter &next Chapter mtg. Hopefully the EPA will do their part in time. I’m looking for ways not to depend on them!
